CMMS/EAM Implementation: Regulatory Compliance
Are you facing an audit? Endless Post-it notes, countless spreadsheets coupled with messy whiteboards simply won’t cut it to satisfy regulatory compliance.
Today, regardless of what industry you are in, regulatory compliance and compliance issues in general, are simply a fact of life. Ensure the paperwork minefield doesn’t undermine your compliance.
Whether it be complying with Government or Industry regulators or your own internal quality, environment or safety processes, the CMMS/ EAM Solution is a powerful tool that can be used to manage your compliance requirements.
Although quite a cliché, the saying “If it’s not documented, it didn’t happen” certainly holds true and your CMMS is the perfect place to hold that information.
A CMMS is traditionally used by the maintenance team to record maintenance information ie. When was the item repaired, when it is scheduled to be serviced or calibrated and what parts are required to be kept on hand. When you are considering your compliance requirements, isn’t that the sort of information you need to keep as well? It doesn’t need to be “maintenance” related for you to be able to use your CMMS to hold those regulatory requirements. When something was calibrated or safety and environmental inspections and testing carried out, is just as important to document and monitor as when a machine needs an oil change.
Although implementing a CMMS won’t automatically make you compliant, it is the perfect repository for the information needed to gain and maintain compliance. There is no need for multiple registers holding safety or environment inspections, equipment calibrations, or maintenance and repair records. The CMMS can also be used as a common access point to retrieve approved procedures and work instructions.
Auditors want to see a track-able history of what was done, when it was done, who was responsible, inspection history, clear instructions and safety procedures etc all documented on a particular item or piece of equipment. A well implemented CMMS can accurately and easily search historical work orders and related data of an asset and generate a report that will satisfy regulatory agencies to meet the necessary standards.
When your organisation is next discussing both internal and external compliance, think about the possibilities your CMMS already has in making the maintenance of your of your regulatory compliance easier and more efficient.
